A Detail Filled Celebration at The Conservatory at Evergreen
Olivia and Patrick’s wedding was personal, intentional, and filled with details that could only belong to them. After spending years of their relationship flying back and forth to steal time together, their wedding celebrated not only where their story began, but everywhere it had taken them since.
From personalized postcards and newspaper programs to handmade details created by the bride herself, every corner of their day had a story to tell.
The Vision
Olivia and Patrick met online, and the years that followed included plenty of flights back and forth just to spend time together. Travel naturally became part of their story, making personalized postcards featuring the different places they had visited together the perfect addition to their wedding day.
And the details did not stop there. Guests received personalized newspaper style programs, and Olivia, who is truly a DIY queen, took on an incredible number of handmade projects herself. The attention she gave to every detail was immaculate, but equally impressive was the organization behind it all. Everything arrived thoughtfully prepared and clearly labeled, making it easy for our team to understand her vision and ensure each piece was set exactly where it belonged.
Their wedding party was just as personal. Rather than a traditional lineup of friends alone, Olivia and Patrick also surrounded themselves with their nieces and nephews, filling their wedding party with some of the people they love most.
Bringing It All Together
Because Olivia and Patrick chose not to do a first look, keeping the two of them from accidentally seeing one another required some careful coordination, especially at a venue made almost entirely of glass!
The bridesmaids and groomsmen were transported separately from their nearby getting ready houses, and our team coordinated their arrivals to make sure everyone could get inside, tucked behind walls, and into position without giving away the bride or groom. With two Navi team members on site and our beloved walkie talkies in hand, we were able to communicate from different areas of the venue and keep everyone exactly where they needed to be.
Throughout setup, we also worked to ensure Olivia’s carefully planned details were executed appropriately while keeping vendors, the wedding party, and the overall timeline moving forward.
Olivia had done an incredible job preparing everything ahead of time, allowing our role to be exactly what it should be: taking those plans out of her hands and making sure they happened.
From Ceremony to Celebration
Once Olivia and Patrick were officially married, there was no slowing down. While guests enjoyed cocktail hour, the Navi team completed a quick room flip, transforming the ceremony space and preparing it for the reception before entrances began.
We also helped pour champagne and prepare the champagne wall so glasses were ready for guests to grab on their way to their seats. With a short turnaround between ceremony and reception, there were plenty of moving pieces happening simultaneously behind the scenes, but everything was ready when it was time to welcome everyone back into the space.
And Olivia made sure their entrance was one guests would remember. She surprised everyone by making her entrance from the upstairs balcony before joining the celebration below.
Shortly after entrances, Olivia and Patrick moved into their cake cutting, and truly, just look at that cake! It was another beautiful detail in a wedding already overflowing with them.
The Final Result
If the beginning of Olivia and Patrick’s wedding showcased their attention to detail, the end of the night showcased just how much fun they wanted their guests to have.
Later in the evening, they surprised everyone with personalized hats made by Olivia along with light up party accessories that helped transform the reception into a full celebration. The dance floor took on a life of its own, and at one point Patrick even created his own version of karaoke, serenading a room full of their guests.
It was joyful, personal, and completely them.
From coordinating carefully timed arrivals and keeping a bride and groom hidden inside a glass venue to executing a fast room flip, preparing champagne, overseeing setup, and keeping the timeline moving, our team handled the logistics so Olivia and Patrick could experience the celebration they had put so much heart into creating.
Olivia deserves so much credit for the incredible amount of thought, creativity, and work she poured into this wedding. Our job was to take everything she had so intentionally prepared and make sure that, when the wedding day finally arrived, she no longer had to be the one executing it.
Because sometimes coordination is not about taking over the planning. It is about giving someone who has poured themselves into every detail permission to finally put the plans down and enjoy what they created.
